Turning Conferences Into a 90 Day Video and NPI Campaign

Conference season is when vision care marketing budgets concentrate. Vision Expo, ASCRS, and the AAO Annual Meeting each draw the exact specialists and optometrists most brands are trying to reach.
Most companies still treat these events as three-day booth activations. The actual opportunity runs 90 days.
Before the Show: Build the Right Audience
Six to eight weeks out, NPI matched lists filtered by specialty and geography let you identify likely attendees and start warming them up before they ever arrive.
The audience composition changes by event, and creative needs to follow it.
Vision Expo skews heavily toward optometrists, opticians, and retail eye care, so surgeon-focused creative will fall flat there.
ASCRS is cataract and refractive surgery. AAO covers ophthalmologists across every subspecialty.
Segmenting your NPI list by which show you are targeting, and matching creative to it, is what separates a real pre-show program from a generic sponsorship push.
During the event: Two Opportunities
Geofencing serves ads to attendees around the convention center and host hotels, running as they browse lifestyle and news sites between sessions.
That strategy keeps your booth and messaging visible to attendees and NPI matching confirms those impressions are landing on verified attendees rather than a broad audience at the venue.
The video opportunity on-site is a different job entirely: capturing your best raw material.
KOL interviews, panel highlights, and booth demonstrations filmed live at the show are what fuel the next phase of the campaign, not something served as a geofenced ad in the moment.
After the Show: The Phase Almost Everyone Skips
Purchase and adoption decisions rarely happen at the booth.
They happen in the 30 to 60 days after, once the provider is back in their practice weighing what they saw. This is where the video captured on-site gets deployed, retargeted through NPI-based cross-device matching so the verified attendee who stopped by your booth or watched a session is now seeing the KOL interview or case study you filmed, wherever they happen to be.
Geofencing during the show can tell you a phone was inside the convention center.
NPI matching after the show tells you which physician the device belonged to, and lets you prove your spend reached actual prescribers.
Instead of starting from scratch, marketers should already have an engaged NPI audience built from every meaningful interaction before and during the conference.
Physicians who clicked, watched a KOL video, or visited the booth, can be grouped into a higher-intent audience.
That segment can then receive more educational, product-specific, or clinical content after the event, while less-engaged attendees continue seeing broader awareness messaging.
Staying Compliant While Moving Fast
None of this works if it creates compliance exposure. NPI data pulled from the public provider registry is generally not protected health information, which is part of why it has become the default foundation for HCP targeting.
Once NPI data is combined with claims, prescribing, or other patient-level behavioral data, HIPAA obligations can attach quickly.
Any partner running this program should be able to explain exactly how they source, combine, and safeguard that data, and should be looping in medical, legal, and regulatory review early enough that it does not become a bottleneck at launch.
Making Conference Spend Accountable
The brands getting the most out of the conference season are not the ones with the biggest booths.
They are the ones treating the event as the middle of a 90-day program, pairing NPI-matched display before and during the show, and retargeting after it closes.
That strategy is also what finally lets marketers answer the question leadership keeps asking: what did the conference spend actually produce?
