We need one file from Salesforce

We are rebuilding the Beacon "Contact Us" form on a new campaign landing page, and it needs to feed leads into your Salesforce. Salesforce can generate that connection for us automatically. No developer, no new software, no cost.

The ask

One task replaces a long list of technical questions.

Salesforce has a built-in feature that generates a ready-made contact form for exactly this situation. You pick the fields, it produces a file, you send it to us. That file quietly contains everything we need: your org identifier, the internal ID of every field, and the exact dropdown options.

We take that file, rebuild it to match the Beacon design, and place it on the campaign page. Visitors will never know it came from Salesforce. It will look like the rest of the page.

Before you start

The fields the form will collect.

The first five already exist on your current Beacon page. The last one is new, and it may need to be created on the Lead object first.

The opt-in must be a checkbox field on the Lead object. If one already exists, use it. If not, it has to be created before you generate the form, otherwise it will not appear in the list of fields you can choose.

This one is not optional

A marketing opt-in that is shown to the visitor but never recorded is worse than no opt-in at all: you would be collecting consent you cannot prove you have. If the field does not exist and you are not able to create it, we need to resolve that before the page can go live. Tell us early and we will help you make the case internally.

How to generate it

Step by step inside Salesforce Setup.

Written for Salesforce Lightning, the modern interface. If your screen does not match, tell us what you see and we will walk through it with you on a call.

  1. Open Setup and find Web-to-Lead Click the gear icon in the top-right corner of Salesforce, then choose Setup. In the left-hand sidebar, type "Web-to-Lead" into the Quick Find box at the top. Click the Web-to-Lead result (it sits under the Marketing heading). If it is off, click the Edit button near the top, tick "Web-to-Lead Enabled", and Save.
  2. Open the Lead object's fields At the very top of the Setup screen there are two tabs, Home and Object Manager. Click Object Manager, click Lead in the list, then click Fields & Relationships in the left menu. The next three steps all happen right here.
  3. Add the Lead Source value In the field list, click Lead Source. Scroll down to the Values section, click New, type Beacon Campaign DigiVidBio exactly, and Save. This keeps campaign leads separate from your existing Beacon leads. It cannot be added retroactively once leads start arriving.
  4. Create the two custom fields, if they are not already there Both are made from this same Fields & Relationships page, using the New button at the top-right of the field list. Check the list first, your Topic field very likely exists already since it is on your current form.
    • Topic (usually already there): New, choose Picklist, Next. Enter the options one per line, then set Field Label to "Topic", click Next, Next, Save.
    • Marketing opt-in (the new one): New, choose Checkbox, Next. Set Field Label to "Marketing Opt-In", leave the default value Unchecked, click Next, Next, Save. This is the field your legal opt-in checkbox will write to.
  5. Create the Web-to-Lead Form and move these exact fields Return to Web-to-Lead (Quick Find, "Web-to-Lead" again) and click Create Web-to-Lead Form. You will see two lists: Available Fields on the left, Selected Fields on the right. Highlight each label below and click the Add arrow (pointing right) to move it across. Move these exact labels: First Name, Last Name, Company, Email, Phone, Lead Source, Topic, Marketing Opt-In. Two heads-ups: First Name and Last Name are both needed even though your page shows a single "Name" box (we combine them on our side), and Salesforce pre-loads a few defaults like City and State into Selected Fields, so move anything you do not want back with the Remove arrow.
  6. Fill in the Return URL Just below the two lists is a Return URL box. It is required, Salesforce will not let you continue without it. Paste in any URL to get past it, even your homepage. We control what the visitor actually sees after submitting, so this value does not matter.
  7. Click Generate, then send us the result Click Generate at the bottom. The next screen shows a block of HTML code. Select all of it, copy it, and paste it into an email to us (or save it as a plain text file and attach it). One heads-up: Salesforce does not store this form anywhere, so if you close the screen before copying, just click Generate again.

When you are done

What to send us, in one email.

Five things. Short answers are fine for the last four.

1. The generated code The block of HTML from the last step (Generate). Paste it into the email or attach it as a text file.
2. The opt-in wording, approved by legal The exact sentence that goes next to the checkbox, plus any links it should carry. We use it word for word.
3. The word to use for Company when Organization is left blank Salesforce needs a company on every lead, but many visitors are individuals. Tell us the placeholder to use, for example Not Provided or Individual.
4. Confirm the Topic dropdown options Here are the four we have from your current page. If they are right, just say so. If you want any changed, added, or removed, tell us. The four: Learn more about this product, Place an order, Request a test kit, General question.
5. One person who can confirm a test worked We submit a fake lead, they check it landed in Salesforce with everything intact. Fifteen minutes, once. It is what prevents a silent failure on launch day.

Everything else is yours to decide internally: who owns the leads, who gets notified, what happens next. We do not need visibility into any of it.

One alternative

If your team already uses Account Engagement.

You may still call it Pardot. If you have it, there is an even easier route: your marketing team builds the form there with the drag-and-drop editor and sends us the embed code instead. It handles the opt-in and campaign membership on its own.

The tradeoff is that a Pardot form is harder for us to restyle, so it may not match the Beacon page as closely. If you have Account Engagement and would rather go that way, just say so and we will adjust.
